4. How long we keep your data

Note on member area access: Your MemberSpace account gives you access to purchased products for as long as your entitlement is valid. We do not impose arbitrary time limits. Access remains available unless you request closure, the platform is discontinued (with reasonable notice given), or your account is closed for a breach of our Terms of Use. Financial records are retained for 6 years regardless.

5. Platforms that process your data

All platforms are operated under business accounts. We do not authorise any processor to use your data for their own purposes.

6. International data transfers

All three platforms are based in the United States. Transfers are protected by Standard Contractual Clauses (SCCs) supplemented by the UK International Data Transfer Addendum (IDTA) issued by the ICO. You may request further information about these safeguards by contacting info@aipolicies.uk.

7. Your rights under UK GDPR

To exercise any of these rights, contact info@aipolicies.uk. We will respond within one calendar month. You also have the right to lodge a complaint with the ICO at ico.org.uk or on 0303 123 1113.

8. Social media advertising

We may use your email address to create a custom audience on Meta platforms (Facebook and Instagram) to reach our existing contact list with relevant content. This is done on the basis of our legitimate interests in communicating with people who have expressed an interest in our products. You have the right to object at any time by contacting info@aipolicies.uk.

Our website uses cookies for basic functionality and analytics. No advertising cookies are used. A cookie consent notice is presented on your first visit. Full details are set out in our Cookie Policy.

10. Data complaints procedure

In accordance with Section 164A of the Data Protection Act 2018 (as inserted by Section 103 of the Data (Use and Access) Act 2025), we maintain a documented complaints procedure.

To make a complaint about how we have handled your personal data, email info@aipolicies.uk with the subject line Data Complaint. We aim to acknowledge all complaints within 5 working days and provide a substantive response within 30 calendar days.

If you remain dissatisfied, you may escalate to the ICO at ico.org.uk or on 0303 123 1113.

11. Security

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. In the event of a personal data breach likely to result in risk to your rights and freedoms, we will notify the ICO within 72 hours and, where required, notify you directly.

12. Children's data

Our products and services are directed at business owners, professionals, and organisations. We do not knowingly collect personal data from individuals under the age of 18. If you believe we have done so inadvertently, contact info@aipolicies.uk and we will delete it promptly.

13. Changes to this notice

We review this policy at least annually and whenever our processing activities change materially. Active members will be notified of material changes by email before they take effect.
